Treatment Coordinator
Job Type: Full Time
The Treatment Coordinator reports to the Practice Manager and represents the practice in all facets of patient services; greeting patients, answering phones, maintaining the schedule for three dentists, scheduling appointments, maintaining patient records and coordinating patient flow.

Essential Duties:
• Works as a team with the other administrative staff in a cooperative manner to complete all administrative duties required
• Ideal candidate should feel comfortable talking with patients about dental treatment and finances
• Monitors the schedule regularly, adjusting and rescheduling patients to maximize patient care and reach practice production goals
• Manages the appointment reminder system. Notifies patients of scheduled appointment times.
• Checking patients out after treatments and scheduling future treatment appointments
• Takes the time to really learn about the patients and their individual needs
• Registers new patients, provides necessary paperwork (patient registration and HIPPA documents) and ensures all required documents are completed by the patient
• Establishes, maintains and keeps patient files up to date
• Communicates with patient regarding financial options. Receives and records patient payment
• Answer telephones/texts and direct calls or messages to the proper associate
• Pick up mail, sort and deliver to the appropriate person
• Greet and check in patients as they arrive
• Enter and scan patient update forms into the patient’s electronic chart
• Scan miscellaneous correspondence into patient software
• Receive and monitor general office email in-box
• Maintain reception room to be orderly and neat at all times
• Other duties as required

Skills • Knowledge of appointment coordination processes 
• Knowledge of English, grammar, spelling and punctuation
• Skills in the use of standard office equipment and software: telephones, calculators, copiers, fax, computers and software (MS Excel, Word, Practice Management software)
• Ability to maintain composure and professionalism with all patient services and dealings
• Ability to prioritize, organize and complete tasks in a timely and independent manner
• Ability to accept constructive criticism
• Ability to collect data and maintain confidentiality
• Ability to greet patients and visitors professionally and courteously
• Ability to work cooperatively with doctors, staff and patients

Education / Experience
• Minimum 3-year professional office experience
• High school diploma required
• CPR & first aid certificate
Physical and Environmental Requirements
• May be required to lift up to 25 lbs
• Active movement throughout the day: sitting, walking, standing
• Sitting for long periods of the day
• Vision: close vision, depth perception, ability to adjust focus
• Hearing: able to satisfactorily communicate with patients, doctors, and staff to ensure that verbal communication is clearly understood or a satisfactorily-equivalent method of communication
• Finger dexterity is needed to access, enter and retrieve data using a computer keyboard and equipment
• May be required to administer CPR
• Exposure to moderate noise levels
• Exposure to fast-paced environment
